Hoteling and Desking Software Are in Demand

Hot desking and hoteling solutions are becoming popular as hybrid work models gain traction and employers balance remote and in-person work arrangements. These solutions provide assigned employees with a desk, cubicle, conference room, as well as other services they need to ensure their safety as they perform their tasks in an office environment. Hot desking software is a practice that replaces fixed desks for employees with a first-come, first-served system once a desk has been reserved online, according to Forrester Research Inc.

Andrew Hewitt, senior analyst at Forrester Research, said hot desks are essentially a free-for-all. Sometimes, you can book a desk randomly based on technology rather than a formal plan or layout. It’s just a case of booking a desk whenever you want.”

According to Hewitt, the hotel industry requires more planning, purpose, and software features to facilitate collaboration among co-workers and workgroups.The hoteling software can be structured so that employees can collaborate with colleagues from across departments and see what colleagues are at work, Hewitt said.According to Microsoft’s 2021 Work Trend Index, employers need to think carefully about hybrid work. It was found that 66 percent of decision makers are considering redesigning physical workspaces to create hybrid work environments; 70 percent of workers favor flexible, remote work options; 65 percent want more time spent with their teams.

In addition to hot desking and hoteling, tech companies bundle other benefits.

Condeco Group Ltd., a London-based company, offers more than just booking desksParking spots and lockers can be reserved by employees. Founded in Munich, Siemens AG has two products: Comfy, which allows desk and room booking and data analysis on office space, and Enlighted, which tracks people’s movement in crowded areas and provides alerts.

Santa Clara, Calif.-based ServiceNow Inc., which provides cloud computing platforms to help companies manage digital workflows, will offer desk booking and hoteling solutions in May 2020.

The company has since added additional return-to-work features such as health attestation and mapping technology that shows employees the floor plans of a building when they arrive there for the first time.Kevin Nanney, senior director of product management at ServiceNow, said reservations can be paired with service requests. The reservation for a conference room may trigger multiple workflow tasks to be completed against the demand, … [such as requests for] a whiteboard, a camera, or technology such as Zoom or Microsoft Teams to be available.

Software for hot desking and hoteling is widely used by technology companies like Slack and Pinterest as well as multinational food companies like Kellogg’s.

The company has partnered with Envoy, a San Francisco, Calif., company that offers software to manage desk bookings, visitor management and delivery management. The company announced in October that its hybrid worker platform had been expanded to offer new features that let employees upload a photo of their vaccination cards and self-attest to their weekly tests on Envoy’s mobile app.
